Call for Proposals to Host STM29

We’re excited to invite proposals from passionate teams interested in hosting STM29! This is a wonderful opportunity to bring our community together, showcase your city, and shape the future of our field.

Deadline for Submission: June 30, 2026
Decision Announced: Fall 2026

What We’re Looking For

We welcome proposals from teams who are enthusiastic about creating an inclusive, engaging conference experience. Whether you’re a first-time organizer with great ideas or a seasoned host, we encourage you to apply.

Key Commitments

To ensure continuity and quality, selected organizers will:

  • Participate in the STM27 organizing committee to gain experience and build connections with our community
  • Create and maintain a conference website for 10 years (we’ll support you with guidance and resources)
  • Secure the stm29.org domain (if you’ve already registered it but aren’t selected, we’ll work with you on transfer arrangements)

Your Proposal (5-8 pages)

Help us envision your conference by sharing:

1. Your Vision for Location & Dates
* Where will we gather? (city, country, venue)
* When and for how long?
* How many attendees do you expect?

2. Your Team
* Who’s on your organizing committee? (names, affiliations, roles)
* What relevant experience do you bring?

3. Financial Planning
* Your preliminary budget and funding approach
* Expected sources: registration fees, exhibitions, sponsorships
* How your institution will support the event
* Your plan for managing financial risks

* Seed Funding Support
To help selected organizers get started with the early stages of conference planning, the STM Conference will provide USD 10,000 in seed
funding to the host institution of STM29. This initial support is intended to assist with early organizational expenses such as website development,
domain registration, and preliminary venue reservations before conference revenue becomes available. The seed funding will be transferred once the host institution and location are formally confirmed.

4. The Conference Experience
* Conference and exhibition spaces
* Nearby accommodations and amenities
* How attendees will get there (airports, trains, local transit, shuttles)
* What makes your city special? Share local attractions!
* Visa information and support you’ll provide

5. Building Community
* Your ideas for inclusion, outreach, and bringing people together
* Plans for awards and recognitions

6. Hybrid Participation (optional but encouraged)
* How might remote attendees join in?

7. Program Highlights
* Draft schedule and key dates
* Your vision for the scientific program
* Cultural events and experiences
* Potential satellite workshops or public outreach opportunities
